Delegations are kindly requested to send a note verbale with a list of all members of each delegation according to the ceremonial priorities of each host country and the PUIC Secretariat. In the event of changes, please submit a list of new names immediately.

- The list of the members of a delegation must include a scanned photo for each member.
- Entry of participants to the halls of the 8th Session of the PUIC Conference and Related Meetings depends on the presence of the Identification Batches (and pins) for the Heads of delegations).
RESIDENCE
The Organizing Committee has arranged hotel reservations.
To confirm reservations for delegates, please fill in the hotel booking forms and send them to the Sudan Parliamentary Group.
If the composition of a delegation exceeds the space of booking forms, delegations must make their bookings by using hotel reservation forms. The last date for submission of lists of names and the dully filled hotel booking forms is 10 January 2103.
HOTEL Classification and Rates in Khartoum
TRANSPORT
The organizing committee will provide transportation to the participating delegations representing PUIC member States, as of January 16, 2013 until January 23, 2013, from the airport to hotels and back to the airport as well as from the hotels to the conference venue and back to hotels.
ACCOMODATION
The host country will provide tea and coffee. Official invitations will also be extended.
LIAISON OFFICER
There will be a liaison officer to assist delegates with regard to administrative and technical matters.
TRANSLATION
Official languages of the Meetings are: Arabic, English and French. The Sudan Parliament will provide interpretation services to and from Arabic, English and French. All documents of the Meetings will be translated into these three languages and be distributed in the Meeting room.
TECHNICAL SECRETARIAT
Technical secretariat will be set to supervise over PUIC business and other related Meetings. For a smooth running of the Meetings, a secretariat will also be set for the preparation of documents for delegates.
There will be an information office to print documents to delegates. The delegates who wish to submit documents concerning the Meetings can contact the technical secretariat, which will prepare official documents for distribution.
arrangement of bilaterl meetings
Bilateral meetings will be held at the venue of the Conference.
Rooms must be booked for bilateral meetings through a private reservation form. Booking forms should be e-mailed to: info@puic8.sd and to: gs@puic.org. These rooms will be provided on a first offer demand. The rooms can be booked for bilateral meetings at a special office in the vicinity of these rooms. However, the time of a meeting should not take more than thirty minutes.
ACCOMPYNING PROGRAMS
The Parliament of Sudan has arranged an associated program for the delegations to the Conference.

Delegates are requested to cooperate during security checks. At the entrances, all bags and personal belongings of delegates will be searched, with exception for the heads of delegations.
medical services
There are first-aid facilities at the venue of the Conference. Ambulance crews will work around the clock in all sites of events and the Conference venue. Other health services will be at the expense of participants. Participants will personally bear the costs of insurance against risk.
entry visas
The process of issuance of Sudanese entry visa (after submitting documents to a concerned embassy) takes between three to five days. The participants are kindly requested to contact the Sudanese diplomatic or consular missions in their country to obtain the entry visa. Applications must be submitted in sufficient time. The required documents in this regard are:
- A valid passport for at least six months after the expiration of the Sudanese entry visa.
- Dully filled entry visa application form.
- Photo (3.5 x 4.5 cm).
For participants from countries where there are no Sudanese diplomatic or consular representation, visa can be obtained upon arrival at Khartoum Airport. In this case Participants should send a copy of their passports to the Sudan Parliament at the earliest opportunity for taking the necessary measures, as well as another copy to the PUIC General Secretariat in Tehran.

Participants from countries where the World Health Organization (WHO) requires vaccination against yellow fever should show health certificates upon arrival.

There will be a media center to cover the proceedings of the Conference. It will be equipped with computers and Internet services, medium-speed and high-speed photocopiers and a network of printers for laptops.
